Imperial Athletic Club, referred to as “Imperial AC”, “the club”, “we”, “us” or “our”, operates this website and is responsible for personal information collected through it.

2. Information we may collect
- Information you provide when contacting the club, including your name, email address, enquiry type and message.
- Player, coach, volunteer, parent or guardian information submitted through approved club processes.
- Photographs, videos and match-related media handled under our Media & Photography Notice.
- Technical information such as browser type, device information, approximate location derived from an IP address, security logs and website usage records where these are generated by our hosting or service providers.
- Administrator account details and authentication records used to protect the private content dashboard.
3. Why we use personal information
We use personal information to respond to enquiries, administer club activities, manage players and volunteers, publish approved club content, maintain website security, meet legal obligations and protect the legitimate interests of the club and its members.
We will not use personal information for a materially different purpose without a lawful basis or further notice.
4. Children and junior players
Where personal information relates to a child, the club will take additional care and will seek the involvement or permission of a parent, guardian or other competent person where required. Public website forms should not be used by a child to submit sensitive medical, identity or emergency information.
5. Service providers and international processing
The website may rely on service providers for hosting, database storage, authentication, content delivery, fonts and media storage. These providers may process limited information on our behalf and may operate infrastructure outside South Africa.
Current technical services may include Supabase, Vercel, GitHub, Google Fonts and content delivery networks. The final live deployment should be checked so this list remains accurate.
6. Retention
We keep personal information only for as long as it is reasonably needed for the purpose for which it was collected, to meet legal or record-keeping requirements, or to resolve disputes. Information that is no longer required should be securely deleted, destroyed or anonymised.
7. Security
We use reasonable technical and organisational safeguards, including restricted dashboard access, authentication, access-control policies, encrypted connections and controlled administrative accounts. No online system can be guaranteed completely secure.
8. Your rights
Subject to applicable law, you may ask whether we hold personal information about you, request access, request correction or deletion, object to certain processing, withdraw consent where processing relies on consent, and lodge a complaint with the Information Regulator.
